How we look after your information
This explains what Wycombe Abbey International School Bangkok does with the information used to sign pupils up for residentials and to collect payment for them.
What we hold
- From the school's own records (iSAMS): your child's name, School ID, year group and form, and the parent email addresses and names the school already holds.
- Your choices: which residential you signed your child up for (or that you said not this time), the name you typed when giving consent, and when.
- The amount due, whether you have paid, and when and how.
- The bank transfer slip you upload (a slip can show your name and bank account details).
- A record of who at the school looked at or changed your family's sign-ups.
We do not collect medical or dietary information here. The school asks for that through its usual forms before a trip.
Why
To offer each child a place, to record your consent, to let you pay, to match your payment to your sign-ups, and to give you a receipt. We use it for nothing else and never for marketing.
Who can see it
Only the staff who run the residentials and the school's Finance team, and the school's technology team when they need to keep the system working. Your payment slip is seen by Finance only. We do not sell or share your information with anyone else.
Where it is kept
On the school's Microsoft 365 and Cloudflare services. The private link in your email is the only way to open your family's page: please do not forward the email.
How long
We keep it only as long as it is needed to run the residentials, record payments and keep the school's financial records. The school's Data Protection Officer decides how long that is.
Your choices
You can ask us to correct your details, to tell you what we hold, or to remove it where the law allows, by writing to dpo@wycombeabbey.ac.th.
